Should booking be on my website or on a separate page?

4 min readOwnership

A link to your existing booking page is a good choice if customers can use it to make an appointment. Put the calendar inside your website if your scheduler allows it and the whole booking process works there.

Start with the appointment your customer needs and where your staff receives it. If a salon already has a booking process that works, you can use that as the starting point when planning the website. Talk through what should stay the same and what you want to improve.

What is the difference between a link and an embedded calendar?

A booking link opens another page where the customer makes the appointment. An embedded calendar puts the booking tool inside a page on your website. Your scheduler's instructions should tell you which options your account supports.

Have the web designer show you the proposed steps. Can the customer choose the right service? Is it clear what happens after they submit the booking? You can judge the choice by trying those steps on the working pages.

What information belongs before the booking button?

The customer needs to understand which appointment they are choosing. A salon service that needs a consultation first should say so before someone books. The wording should match how your staff handles that service.

Location matters here, too. If you take appointments at different branches, the customer should be able to tell where they are booking. Staff who handle those appointments can check whether the service and location information match the process they use.

The button should describe what happens next. If it opens a booking page, say that clearly. If the customer is sending a request that staff must review, call it a request. Review that wording with someone who handles bookings before approving the page, so it describes what your business actually does.

How can I check whether it works on a phone?

Open the service page on your phone and follow the booking steps. You should still be able to tell which service you are choosing when you reach the booking tool. Look at the information it asks for before you call the page ready.

If you need to make a test appointment, arrange it with the web designer and your staff first. For example, agree how staff will recognize your test booking and remove it from the working calendar. Use made-up customer details for that test.

Try the parts after booking as well. Have staff show you how someone changes an appointment and which instructions the customer needs. A calendar can look fine on the page and still leave open what happens after someone books. Ask about that while you have the working pages in front of you.

Do I need to replace the software I already use?

Bring the name of your current scheduler and explain how your staff uses it. Show where an appointment appears after a customer books. The web designer can then go over the connection for that particular tool and confirm what is available.

Our Professional website tier lists booking or scheduling connected to software you already use. Practice lists connection to an existing scheduler or CRM. Tell us which tool you have so we can discuss the connection your project needs.

If you also want payments or a change to how staff handles appointments, bring that up when planning the work. You should know which account manages each part and what the person building your website is being asked to change. Settle that before anyone replaces a tool your staff already uses.

What should the quote say about ongoing costs?

The quote should explain what the website plan covers and whether you have a separate scheduler subscription. You also need to know who manages that subscription. Connecting your existing tool is a different job from supplying the tool itself.

For example, if your booking service has its own bill, ask how that fits beside the proposed website bill. Confirm the subscription costs and the connection for the scheduler you use before approving the work.

Our website plan terms include the domain, hosting, unlimited text and photo edits, and ongoing updates and fixes in the monthly price. We require written approval before charging for extra work.

Agree who handles later changes to services or appointment availability, too. Keep that answer with the booking account details so you know who to contact when a change is needed.
