This page explains what happens to information from people who visit this website, contact ThinkCodec, or enroll in a website plan, and how we handle it. It does not cover the terms of any engagement.

1. Who we are
ThinkCodec LLC designs and builds websites, applications and custom software, and provides security and compliance services to clients in Dallas-Fort Worth and nationally. This policy explains how we handle information connected to this website, thinkcodec.com, and to email, calls and texts sent to us. If you have questions about it, reach us at [email protected].
2. What this site does
There are no visitor accounts on this site. It describes our services, and you can reach us by phone or by email at [email protected]. The site has one form: the website checker on our home page. It takes a website address you type in, checks that site's public home page, and shows you the results. It does not save the address you enter. To stop abuse, it keeps a hashed form of your IP address with the times of your checks, and deletes them about an hour after your last check. If you enroll in a website plan, you pay on a page Stripe hosts, as described under Payments.
3. We count visits without tracking you
This site sets no tracking cookies and carries no advertising pixels. We count visits with Cloudflare Web Analytics and Metricool. Both providers say their counters set no cookies and do not follow you across other sites.
No tracking cookies
Nothing on this site sets a cookie to identify you or follow you across visits or across other sites. Cloudflare, which protects the site, may set a security cookie called cf_clearance after your browser passes a bot check.
Visit counts
We use Cloudflare Web Analytics to see how many people visit, which pages they read, and how fast the pages load. Your browser loads its script from static.cloudflareinsights.com. Cloudflare says the service does not collect or use your personal data and does not track you across other sites. We also use Metricool, our social media tool, to count visits and see which pages people read. Your browser loads its script from tracker.metricool.com. Metricool says its counter sets no cookies, stores nothing on your device and assigns you no identifier. It uses your IP address to work out your country and reports visits to us only as totals.
No advertising pixels
There is no advertising network code on this site. Our pages load fonts from Google Fonts and code libraries from cdnjs and jsDelivr. Those services receive your IP address and browser details when a page loads.
We keep this small on purpose. Part of what we advise clients on is reducing the amount of data they collect and hold, because data you do not have is data you cannot lose control of. Counting visits tells us whether the site is useful without keeping a record of who you are.
4. What we receive when you contact us
Sending us an email necessarily gives us your email address, whatever name or signature you include, the content of your message, and any attachment you choose to send. That message also passes through your email provider and ours in the ordinary way email works. We do not add anything to that beyond what you sent us. We do not run a mailing list signup or a newsletter subscription box.
5. Payments
If you enroll in a website plan, you pay through Stripe, our payment processor, on a page Stripe hosts.
Stripe collects your payment details. We never see or store your full card number or bank account number.
Stripe shares with us what we need to bill you and run your account: your name, business name, email, phone number, billing address, the type of payment method and its last four digits, and your payment history.
Stripe handles the information you give it under its own privacy policy.
We keep billing records for as long as we need them to run your account and meet tax and accounting requirements.
We also publish a telephone number, and you can call or text it. Our phone service keeps a record of each call and text: your number, the time, how long a call lasted, what a text says, and any voicemail you leave, with its transcript. We copy that record into our own customer records so we can follow up with you. Calls may be recorded and transcribed by our phone service, and we keep any transcript and summary in our customer records. We use what you tell us for the same narrow purpose described below: answering your question and working out whether we are the right fit for the work.
6. How we use what you send us
We read it and reply
The first and most common use of your email is answering your question directly.
We scope potential work
If you describe a project, we use the details to understand what it would take and prepare a response or proposal.
We keep what the relationship needs
If it turns into an engagement, correspondence becomes part of that record. If it does not, we do not add you to a marketing list.
We do not use your email to build an advertising profile, and we do not share it with anyone so they can market to you.
7. We do not sell your information, and we will not add you to a marketing list without asking
We do not sell or rent contact information to anyone, for any reason. If you email us with a question or a project, we will not add you to a newsletter, a drip campaign, or any other marketing list unless you tell us that is what you want.
8. Who we may share information with
We keep the circle small. Information you send us may be seen by the service providers who help us operate, such as the provider that hosts our email, strictly so they can perform that function. We may also disclose information where the law requires it, such as in response to a valid legal process. Outside of those two situations, we do not share what you send us with other parties.
9. Information you share while we scope a potential project
When you describe a potential engagement, you may need to tell us things that are sensitive: details about your systems, your environment, your compliance posture, or where you fall short of a standard. We treat that information as confidential and use it only to understand the work and prepare a response.
This policy covers the correspondence itself and the billing details described under Payments. It does not govern the work. Website plans are covered by our Website plan terms. Any other engagement, and any handling of controlled or regulated information such as controlled unclassified information, is governed by a separate signed agreement, not by this website policy.
10. Please do not email us sensitive material
Do not send the following to us by email:
- Passwords, credentials, or access keys of any kind.
- Controlled unclassified information or other regulated or classified material.
- Personally identifiable information such as Social Security numbers or financial account numbers.
Ordinary email is not a secure channel for this kind of material, and we would rather you not send it than send it the easy way. If your situation involves something like this, say so at a high level in your first message and we will arrange an appropriate way to exchange it before anything sensitive changes hands. That is standard practice, and it is worth doing whether or not you ever engage us.
11. How long we keep correspondence
We keep email correspondence for as long as we reasonably need it to respond to you, evaluate a potential project, or, if you become a client, to support that relationship. If an email does not lead anywhere, we do not keep it indefinitely or fold it into a marketing database. Call and text records stay in our customer records so we have the history of each conversation. You can ask us to delete correspondence at any time, as described below.
12. Safeguards
We take commercially reasonable steps to protect the information you send us: we limit who inside ThinkCodec sees it, we use reputable providers to handle our email, and we do not leave correspondence more exposed than it needs to be. No method of sending or storing information over the internet is completely secure, and we cannot guarantee absolute security. We hold ourselves to the same basic discipline we advise our clients to practice.
13. Your choices
You can choose not to contact us. Apart from email, phone calls and texts, the only information we get from you comes through the website checker described above and, if you enroll in a website plan, from Stripe. If you have emailed, called or texted us, or enrolled in a plan, you can ask what we hold about you, ask us to correct it, ask us to delete it, or ask us to stop contacting you. We keep the billing records we need for tax and accounting, and a log of calls and texts without what was said: numbers, times, and details such as call length and delivery status. 14. Children's privacy
This site is directed at businesses and organizations, not children, and we do not knowingly collect information from anyone under 13. If you believe a child has sent us information, contact us and we will delete what they sent us.
15. Changes to this policy
We may update this policy as our practice or this site changes. When we do, we will revise the "last updated" date at the top of this page. We encourage you to check back from time to time if you want to know how our practices have changed.
